Membership Coordinator
The San Jose Silicon Valley Chamber of Commerce Membership Coordinator works directly with the Vice President, Membership & Marketing in both an administrative and project coordinator role. The coordinator supports the membership department, manages the chamber’s database and plays a vital role as a liaison for the Chamber’s Ambassador and Today’s Young Professionals Groups.
Position Responsibilities:
Membership Development
• Assist the VP of membership and marketing in any membership campaigns or correspondence
• Field Calls on membership, route to appropriate account rep, or new rep on rotating basis
• Take incoming inquiries from account reps when in the field to help facilitate sales efforts
• Pull preliminary reports for VP of membership and Marketing, assist in board reporting
• Serve as point of contact for ribbon cuttings
Communications
• Develop, maintain, schedule, and send out Member NewsFlash and
Highlights communications
• Supply Membership information for Chamber Advocate Newspaper
• Update information through database for Membership Events
Database Management
• Maintain Database including updates, additions and cancellations
• Identify and work to resolve any usability or staff training issues
• Perform Member information updates, coordinating with Finance
• Perform Cancellations
Ambassador Support
• Provide support to the VP of Membership and Marketing in the management of the Chamber’s Ambassador program.
• Work with volunteer leadership to maintain accurate records and communication data
• Develop, distribute and manage Ambassador retention call lists, providing data to VP of Membership and Marketing
• Set up and take down Ambassador meeting logistics
• Manage Ambassador sign-up sheets for events and ribbon cuttings
Today’s Young Professionals Support
• Provide support to the VP of Membership and Marketing in the management of the Chamber’s TYP program.
• Work with volunteer leadership to maintain accurate records and communication data
• Set up, attend and take down TYP meeting logistics
• Event support as needed
BRN and Business Association Support
• Support BRN Chairs in maintaining accurate BRN data
• Organize quarterly BRN chair meetings
• Provide support to Association Manager as required for appropriate management of Business Associations
• Work with the Redevelopment Agency to update new RDA/Chamber members
Membership Events
• Participate in membership events as called upon
• Set up and manage Member Briefings and Chamber 101 events including registration set up
• Assist with set up and management of other related events as they arise
• Coordinate Ambassador involvement with events
Other Duties as Required
• Perform other duties as necessary or identified
• Provide coverage for front desk daily for lunch periods and occasionally when absences occur
• Train new employees on SBA
• Follow up with requests from Chamber Partners
Applicants must be detail oriented, be able to multi-task, arrange meeting space furniture, and work well under pressure.
